Voiding checks

After voiding all payments made to an invoice, you can void the invoice itself. Best practices in accounting require that you do not void transactions that the bank has processed. Therefore, it is not possible to void transactions with a status of 2-Cleared.

Important! Except for Accounts Payable payments, you cannot void a transaction in a different period than the one in which it was originally posted.

To void a check:

  1. Open 1-3 Journal Transactions.

  2. Using the data control, select the record of the check (Trans#) you want to void.

  3. Verify that the Status is 1-Open.

  4. If necessary, from the Status list, select 1-Open.

  5. On the Edit menu, click Void Transaction.

    If the original transaction is an Accounts Payable payment posted in a previous period, Sage 100 Contractor displays a message asking if you want to void the payment in the prior period.

    1. If you want to void the payment, click Yes.
    2. If you want to post a reversing transaction in the current period, instead, click No.

      Note: If the prior period is locked, you need to have Administrator rights to process the reversal.

      If you click No, Sage 100 Contractor creates a new transaction, reversing the debits and credits from the original transaction.
