Warnings about expired or potentially missing certificates
Whether Sage 100 Contractor displays a warning message for an expired or missing certificate depends on whether you identify a specific vendor or job, or no job, in your entry.
When you specify both a vendor and a job in an entry:

If the vendor has any job-specific certificates, the program looks for certificates for the specified vendor and job.
If it finds an expired certificate for the vendor and job, it displays a warning (or stops payment).
If it does not find a job-specific certificate for the vendor and job, it displays a warning about a missing certificate, unless you turn off the option to check for missing job certificates. (You turn off this warning on a job-by-job basis by selecting the Do not check job for missing vendor certificates on the Contacts and Personnel tab on the 3-5 Jobs record.)
- If the vendor has no job-specific certificates, the program checks non-job vendor certificates, and displays warnings (or stops payment) if any have expired.
If you do not specify a job in the entry, or if you do not assign any certificates to jobs, the program displays a warning or stops payment if any non-job certificates have expired for a specified vendor.
Sage 100 Contractor displays messages about expired or missing certificates in the following windows:
- In the 4-2 Payable Invoices window, it checks the invoice record for valid certificates when you enter a vendor (for non-job certificates), when you enter a job, and when you save using the Save/Set to Pay option.

In the 4-3-1 Select Invoice to Pay window, it checks the invoice record to ensure there are valid certificates for the vendor and job.
Note: You could receive a warning about a potentially missing certificate even if you select the Exclude vendors with overdue certificates, if the vendor has a job-specific certificate, but not for the selected job.

In the 6-7-1 Subcontracts window, it checks for certificates when you enter the vendor. In this window, you normally enter a job and then the vendor. When you tab out of the Vendor box, the program checks whether there is a valid certificate for the vendor and job.
